At our Company, we grow People, Brands, and Businesses!We are seeking a Leave of Absence (LOA) Lead to be responsible for coordination of the leave of absence (LOA) and benefits programs in compliance with federal, state, and local regulations and established company policies. This position will provide leave coordination for new and existing Short-Term Disability, Family Medical Leave, American with Disability Act, state statutory claims and employer-authorized leave policies. This position will also assist with benefits enrollment, terminations, COBRA administration, medical support garnishments, life claims and general employee questions.

Responsibilities:

  • Support the day-to-day needs.

  • Assist with training new associates.

  • Maintain LOA Admin and ADA system with a high degree of accuracy making sure that all new claims, updates and closed claim information regarding STD, FML, Workers Comp, LTD, ADA, state statutory and company leaves are added, tracked and updated in a timely manner.

  • Maintain all employees medical and benefit records as required. Ensure compliance with requirements under HIPAA.

  • Participate in the Annual Open Enrollment Process in all stages from beginning to end.

  • Perform Project Administration role for special projects as needed.

Qualifications:

  • High School Diploma or GED or equivalent experiencerequired

  • 3-5 years of experience in leave of absence administration and corporate benefits administration

  • Experience with state, federal and company leaves of absence

  • Experience with COBRA, HIPAA, and Health and Welfare

  • Ability to complete multiple duties with accuracy shifting from one to another with frequent interruptions and competing for deadline

  • Excellent customer service orientation

Job Duty

Leadership

  • Support the day-to-day needs

  • Share knowledge and provide solutions to complex issues

  • Provide development through daily education, interaction, and feedback

  • Ensure sufficient coverage is provided

  • Assist with training new associates

Leave of Absence Coordination

  • Maintain LOA Admin and ADA system with a high degree of accuracy making sure that all new claims, updates and closed claim information regarding STD, FML, Workers Comp, LTD, ADA, state statutory and company leaves is added, tracked and updated in a timely manner

  • Maintain effective communication with associates, third party carriers and or carrier representatives, managers, supervisors, and HR to respond to LOA and benefit questions; solve issues

Benefits Assistance

  • Maintain all employees medical and benefit records as required. Ensure compliance with requirements under HIPAA.

  • Participate in the Annual Open Enrollment Process in all stages from beginning to end.

  • Closely monitor and process the payment of insurance premiums by employees on leave to ensure accurate and timely payment; work with payroll to ensure accurate employee payroll deductions for benefits

  • Maintain an accurate and up-to-date overview of, and enrollment information on, company benefit plans to include in orientation.

Miscellaneous

  • Perform Project Administration role for special projects as needed.

  • Create and manage projects plans

  • Engage support for the Company systems and understands the connectivity and automated systems work flow process. Assist in furthering an automated Human Resources environment.

  • Assist with Unemployment claims including updating the UI system, responding to third party carrier or HR questions

  • Process mail and other duties as assigned

  • This position does not have supervisory responsibilities for direct reports

Indirect Reports

  • May delegate work of others and provide guidance, direction and mentoring to indirect reports

Minimum Qualifications

The following are the minimum job-related qualifications which an individual needs in order to successfully perform the essential duties and responsibilities of the job

Education Level: (Required) High School Diploma or GED or equivalent experience

Field of Study/Area of Experience

  • 3-5 years of experience in leave of absence administration and corporate benefits administration

  • Experience with state, federal and company leaves of absence

  • Experience with COBRA, HIPAA, and Health and Welfare

Skills, Knowledge and Abilities

  • Strong prioritization skills

  • Ability to complete multiple duties with accuracy shifting from one to another with frequent interruptions and competing deadline

Incumbent must be able to perform the essential functions of the job. Work is performed primarily in an office environment. Typically requires the ability to sit for extended periods of time (66%+ each day), ability to hear the telephone, ability to enter data on a computer and may also require the ability to lift up to 10 pounds.
